Academic Records Coordinator

 

POSITION SUMMARY
The academic records coordinator is responsible for a wide range of moderate to complex clerical and technical assignments involving the administrative support of the office of records and registration. The coordinator is responsible for collecting and verifying all grades for the University, changing grades in the system as necessary, processing graduation applications and serving as the primary recourse for student communication.

 

POSITION REQUIREMENTS
• Bachelor’s degree or equivalent work experience
• One to 3 years of successful experience in records and registration
• General understanding of federal, state, and local regulations as they apply to student records (i.e., FERPA, HIPAA, PDE, etc.) as well as best practices related to academic policies and procedures
• Organizational, analytical and strategic planning skills and the ability to manage multiple projects concurrently
• Strong work ethic and high level of energy, flexibility, initiative and creativity
• Organizational, analytical and critical thinking skills and the ability to manage multiple projects concurrently with frequent interruptions
• Excellent interpersonal and communication skills and demonstrated ability to develop effective working relationships within a fast-paced, multicultural environment
• Proficiency in Windows and Microsoft Office computer systems, knowledge of computer databases and receptive to the use of new technology while also able to utilize web and social media platforms for recruitment; knowledge of the Jenzabar EX student information system is a plus

 

ESSENTIAL DUTIES AND RESPONSIBILITIES
Duties may vary and other duties may be assigned.
• Develops and maintains detailed knowledge of the University’s academic policies, curriculum and general University requirements, and works closely with the registrar, the director of assessment, curriculum committees, program leads and other members of the staff to ensure accurate processing and oversite of scheduling, grade entry and communication to students in order to best support the student and academic programs of Harrisburg University
• Provide administrative and professional support to the department of records and registration
• Works in conjunction with the registrar’s office staff to maintains the academic records of the University
• Prepares and sends all general information emails to students and faculty
• Tracks faculty grade submissions and student attendance
• Develops schedules for, and enrolls, all new undergraduate students into the student registration database
• Assists with conducting graduate student Q & A sessions, prepare and work graduate orientations
• Works in conjunction with colleagues on commencement preparation and execution including responsibilities in processing graduation applications and completing commencement support letters in a timely manner
• Assists colleagues in processing student forms and internet submissions, assisting transfer students through the progression from admission to registration and completing student registrations as necessary
• Assists with student registration and maintenance of the course schedule
• Prepares reports related to the history and progress of defined enrollment characteristics as needed
• Perform various other duties as needed to support the mission and vision of the University
